FINANCE ASSISTANT (intro)
Contract type: Full time. six months, renewable.
• Organize the payment of daily workers, suppliers, and contractors in accordance with the procedures and deadlines.
• Apply and make apply the payment schedule.
• Is in relation with the bank and the exchange company to organize the payment of salary advances, salaries, opening of bank accounts, and all other issue related to bank payment.
• Organize the payment of medical bills and operational advances in accordance with the procedure. Record the operational advances in the appropriate book.
• Maintain and update cashbook movements for the cash box, record all IN and OUT transactions, ensure that cashbox balances always reflect the actual amount of money kept in the cashboxes and, investigate any discrepancy.
• Record all the accountings piece in the software SAGA on a regular basis.
• Ensure the monthly accountancy closure and ensure a monthly accounts report in accordance with MSF procedures, checking individual entries and preparing the necessary administrative documents (originals) as a basis for justification and explanation of payments and receipts made.
• Apply and makes apply the threshold chart : make sure to receive the appropriate validation document before paying.
• Reconciling bank statement balances and highlighting any cheques not cashed during the month.
• Update the follow up of the relevant expenditures ( as daily worker, referrals, staff health, the restaurant…)
• Assist the Administrator Manager in the preparation of the cash request, cash order, budget…
• Follow and prepare the contract for the consultants, suppliers, etc.
• Is in relation with coordination in Sanaa to take advice and support regarding SAGA and monthly closure.
• Following up and archiving the mission’s administration : Updating the administration archives in the soft and hard copy in an organized and logical fashion (, legal documents, invoices, etc.)
• Computer skills ( Word, Excel) and good faculty to learn new software;
• Strong work ethic, commitment to humanitarian objectives and interest in health care;
• High motivation, creative, organized, flexibility, quick learning and team working;
• Fluent in both spoken and written Arabic and English.
• Willing to perform overtimes and additional work on Friday and Saturday when the project needs it.
