CARE International in Yemen is currently seeking for a Field Administrative Assistant for the CARE Building Community Resilience – Food security& livelihood support program in Abyan and Lahjj which is funded by WFP and will be implemented through the partnership of two International Organization, CARE in leading and DRC. The program seeks to address food insecurity in the target governorates by providing food-insecure households with food and/or cash-based safety nets.
Field Administrative Assistant
Location: Aden, Yemen
Duties:
The Field Administrative Assistant reports to Administrator Officer. As part of the CARE Finance team, the field administrative Assistant is responsible to assist undertaking and completing all finance and administrative tasks and requirements, while providing support services to staff and the project
Responsibilities:
Maintain FINSUN spreadsheets
• Maintain PAMODZI spreadsheet for bank & cash.
• Ensure sufficient currencies are in the bank for local payments.
• Ensure majority of the expenses are paid through the bank.
• On a regular basis, receive vouchers for entering into the PAMODZI system.
Monthly financial reports and budget forecast
• Responsible for financial budgeting and accounting on the programs.
• Report monthly financial updates to the Program Manager
• Create and maintain the program’s inventory list.
• Ensure all program’s financial transactions are carried out and recorded in line with all CARE regulations.
Prepare bank orders for transfers and payments
• Receive payment orders and maintain cash books.
• Prepare vouchers for expenses
Maintain advances and cash flow
• Maintain advance vouchers and ensure the advances are acquitted in a timely manner.
• Provide information about cash-on-hand and bank balances for any currency upon request by authorized staff.
• Before getting any check signed for advance, petty cash or payments, ensure that relevant backup details are attached
File and maintain payment vouchers
• File payment vouchers and other finance documents in accordance with established filing system.
• Update record information on staff attendance
Provide administrative support
• Ensure a clean and efficient working area, as well as a cooperative and supportive working environment.
• Ensure security of office equipment and assets, preparing a program asset sheet.
• Prepare and coordinate ordering of office supplies and stationary for workshops and other events.
• Support in monitoring the telephone, fax and photocopier usage so that it is not misused (Mobile charges are paid to staff, so landline utilization must be restricted to emergencies).
• Carry out any other task assigned by Program Manager and Finance Controller.
• Perform other duties as assigned.
Required
• Minimum 1 year of bookkeeping and accounting experience
• Experience in filing and safeguarding important documents
• Experience in managing and reconciling petty cash
• Familiar with Microsoft Word and Excel
• Able to work under pressure as part of a busy team
• Demonstrates a high level of interpersonal skills and patience
